- Balance Payment: The balance of the total trip cost must be paid no later than 30 days prior to the trip departure date.
- Late Payments: If the balance is not paid by the due date, we reserve the right to treat your booking as cancelled and retain your deposit.
- Bookings Within 30 Days: For bookings made within 30 days of the departure date, the total trip cost must be paid in full at the time of booking.
3. Cancellations & Transfers by You

- 14 days or fewer before departure: 100% of total trip cost retained.
Transferring Your Booking: You may transfer your booking to another person up to 21 days before departure, provided the recipient meets all trip requirements, accepts these Terms and Conditions, and pays any administrative or third-party transfer fees incurred.
4. Cancellations & Modifications by Us
- Minimum Group Numbers: Our trips rely on a minimum number of participants. If minimum numbers are not reached, we reserve the right to cancel the trip up to 30 days prior to departure. In this event, you will receive a 100% refund of all monies paid to us.
- Force Majeure: We are not liable for cancellations, delays, or route alterations caused by events beyond our control ("Force Majeure"), including but not limited to war, civil unrest, severe weather conditions, natural disasters, epidemics, pandemics, government restrictions, or sudden closures of mountain passes/roads.
- Route & Itinerary Alterations: Mountain sports and outdoor activities require flexibility. We reserve the right to alter daily routes, basecamps, or scheduled activities due to severe weather, safety concerns, or local authority directives. Such alterations do not entitle you to a refund.
5. Mandatory Travel & Sports Insurance
- Insurance Requirement: It is a strict condition of booking that all participants hold comprehensive travel insurance valid for the duration of the trip and location.
- Required Coverage: Your insurance policy must explicitly cover:
- High-altitude road cycling, open-water swimming, and trail running.
- Emergency medical expenses, including mountain rescue and air ambulance evacuation.
- Repatriation expenses.
- Trip cancellation, curtailment, and loss of personal belongings/sports equipment.
- Proof of Insurance: You must provide details of your policy (provider name, policy number, and 24/7 emergency assistance number) prior to departure via your Guest Portal. Failure to provide proof of adequate insurance may result in exclusion from the trip without refund.
6. Participant Fitness, Health & Safety
- Physical Capability: You are responsible for ensuring that you possess a suitable level of health and fitness required to safely participate in your chosen trip.
- Medical Conditions: You must disclose any pre-existing medical conditions, severe allergies, injuries, or dietary requirements in your Guest Portal prior to departure.
- Guide & Safety Authority: Our trip leaders, support drivers, and swim safety leads hold absolute authority concerning participant safety. If a guide deems that a participant is unable to complete a route safely or poses a risk to themselves or others, they may request that the participant ride in the support vehicle or skip a session.
7. Personal Equipment, Bikes & Luggage
- Equipment Maintenance: If you bring your own road bike or equipment, you are solely responsible for ensuring it is in safe, fully serviced, and roadworthy condition.
- Bike Hire: If renting a bike through us or our partners, you are responsible for using the bike safely and returning it in the condition received. You are liable for any loss or damage caused by negligence or misuse.
- Luggage & Equipment Loss/Damage: While our support team takes great care during luggage transfers and bike transport, Tri Adventures accepts no liability for loss, theft, or damage to personal belongings, luggage, bikes, or sports equipment during the trip. These risks must be covered by your personal insurance policy.
8. Flights & External Travel Arrangements
Tri Adventures provides ground-based adventure travel only. We are not responsible for arranging or booking international flights, train journeys, or personal travel to and from the designated airport pickup locations (e.g., Geneva Airport). We accept no liability for flight delays, cancellations, or missed transfers resulting from third-party transport delays.
9. Liability & Risk Acknowledgment
- Inherent Risks: You acknowledge that participating in open-water swimming, road cycling on mountain cols, and mountain trail running involves inherent risks of physical injury, illness, or equipment damage.
- Limitation of Liability: To the maximum extent permitted by English law, Tri Adventures Limited, its directors, employees, contractors, and agents exclude all liability for death, personal injury, property loss, or financial damage, except where caused directly by our gross negligence or willful misconduct.

During trips, our staff or media team may take photographs and video footage. By participating, you grant Tri Adventures a perpetual, royalty-free license to use such imagery for promotional and marketing purposes across our website, social media channels, and print material. If you do not wish to be featured, you must notify us in writing before the trip begins.
